Terms of Service
Last updated: June 6, 2026. Summary: these terms govern your use of MyWhiteboards.com. By placing an order, you agree to our shipping lead times, return policy, damage-claim process, warranty terms, and the other terms described below.
Acceptance of Terms
By accessing or using MyWhiteboards.com, operated by OptiMA, Inc. (OptiMA, we, our, or us), you agree to be bound by these Terms of Service (Terms). If you do not agree with any part of these Terms, please do not use our website. These Terms apply to all visitors, customers, and account holders.
Products and Pricing
All prices are listed in US dollars and are subject to change without notice. We reserve the right to correct pricing errors at any time. Product images are for illustration; actual products may vary slightly in color or finish. There is a minimum order of $9.95 (excluding shipping fees).
Orders and Payment
By placing an order, you represent that you are at least 18 years old, that you are authorized to use the payment method you provide, and that your billing and shipping information is accurate. We reserve the right to refuse, limit, or cancel any order, including for suspected fraud, pricing errors, or product unavailability. Orders combining Quick Ship and non-Quick Ship items will be held until they can ship complete unless you contact our customer success team to arrange separate shipments.
Shipping and Delivery
Shipping lead times vary by product type and represent the time required to prepare your order for shipment. Expedited shipping methods affect transit time only, not lead time. Lead times are not guaranteed and may increase during peak season (June–September) or for large-quantity orders. All freight delivery is curbside or to a loading dock. Additional services such as liftgate or inside delivery may incur extra charges; see our Shipping Methods page at /shipping. International shipping is available on a quote-only basis. International customers are responsible for all freight charges, duties, fees, and taxes that apply to the order.

Returns and Exchanges
Standard (non-custom) products may be returned, provided: (1) a Return Merchandise Authorization (RMA) number is requested from customer service within 10 business days of receiving your order, and (2) the item is returned to our warehouse within 30 days of your original receipt date, unused and resalable, in its original packaging. Returns and exchanges may be subject to a 20% restocking fee. The customer is responsible for all freight charges for returned items, both inbound and outbound. Returns and Exchanges — Custom Items
Custom items are not eligible for return unless defective. Custom items include anything custom-sized, custom-printed, special-ordered, or made to order — including (but not limited to) custom-length Opti-Rite material, 5', 6', and 8' tall boards, full-height walls, horizontal slider units, enclosed bulletin boards and letter boards with custom fabric backgrounds, fabric bulletin boards, and similar special-order configurations. If unsure whether an item is custom, contact customer service before ordering.
Freight and Damage Claims
All freight shipments must be inspected upon delivery. If any damage is found, you must write the word DAMAGED on the delivery receipt or Bill of Lading before signing. Notations such as pending inspection or subject to inspection are not sufficient — carriers require the word damaged, and without it we cannot guarantee your freight claim will be honored. All damage claims must be made within 4 days of delivery. Our Freight Guarantee program provides additional protection for qualifying shipments. To report damage, file a claim online at /file-claim.
Warranties
Product warranties vary by surface type and manufacturer. OptiMA porcelain steel boards carry a 50-year guarantee against ghosting and staining. Opti-Rite dry erase surfaces carry a 20,000-use erase guarantee. See our OptiMA Warranty page at /optima/advantage/warranty and the individual product pages for full warranty details. Warranties are non-transferable and do not cover damage from misuse, improper installation, or normal wear and tear.
Tax Exemption
Qualifying organizations — including schools, government agencies, and non-profits — may purchase tax-free by submitting a valid tax-exemption certificate through our Tax Exempt application process at /tax-exempt. Applications take 3–5 business days to process. Once approved, applicable taxes will be removed from future orders. Purchases made up to 90 days before approval may be eligible for a tax refund.
Communications and Call Recording — SMS
Transactional text messages (such as order confirmations and shipping notifications) are tied to the order you place. We send marketing or promotional text messages only if you have affirmatively opted in — by checking the SMS opt-in box at checkout or in your account preferences, or by replying JOIN to (508) 501-4677. Consent to receive marketing texts is not a condition of purchase. Message frequency varies; message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Communications and Call Recording — Phone
When you call us at (866) 366-1500, your call is recorded for quality assurance, training, dispute resolution, and regulatory compliance. An automated message at the start of every inbound call informs you that the call may be recorded; by remaining on the line, you consent. Outbound calls placed by our team are not recorded by default; if an outbound call is being recorded, the representative will identify themselves and state that the call is on a recorded line at the start of the call. If you do not wish to be recorded, tell the representative at the start of the call. Recordings are retained only as long as needed for those purposes and to meet our legal obligations, as described in our Privacy Policy.
User Representations
By using the website, you represent and warrant that: you are at least 18 years of age (or have parental/guardian involvement for any transaction involving a minor); all information you provide is accurate, current, and complete; you have the legal capacity and authority to enter into these Terms; and your use will comply with all applicable laws and will not be for any unlawful or unauthorized purpose.
Account Suspension and Termination
We reserve the right, at our sole discretion, to suspend or terminate your account or limit access for violation of these Terms, suspected fraudulent activity, abuse of our policies, or conduct we believe is harmful to us or other customers. Termination does not relieve you of obligations incurred prior to termination.
Limitation of Liability
To the fullest extent permitted by law, MyWhiteboards and OptiMA shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, loss of data, or business interruption, arising from or related to your use of the website or our products. Our total aggregate liability shall not exceed the amount you paid for the specific product or order giving rise to the claim. Some jurisdictions do not allow certain limitations; in those jurisdictions, our liability is limited to the maximum extent permitted by law.
Indemnification
You agree to defend, indemnify, and hold harmless OptiMA, Inc., its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or in connection with your use of the website, your violation of these Terms, your violation of any rights of a third party, or your violation of any applicable law.
Governing Law and Venue
These Terms are governed by the laws of the Commonwealth of Massachusetts, without regard to its conflict-of-law principles. Any action arising out of or relating to these Terms or your use of the website shall be brought exclusively in the state or federal courts located in Worcester County, Massachusetts, and you consent to the personal jurisdiction and venue of those courts. Nothing in these Terms limits either party's right to seek injunctive or other equitable relief in those courts, including for actual or threatened infringement, misappropriation, or violation of intellectual property rights.
Modification of Terms
We may update these Terms from time to time. Changes will be posted on this page with an updated Last updated date. Your continued use of the website after changes are posted constitutes acceptance of the updated Terms. For material changes, we will provide additional notice (such as an email notification or a banner on the website).
Severability and Entire Agreement
If any provision of these Terms is found unenforceable or invalid, that provision will be modified to the extent necessary to make it enforceable, and the remaining provisions will continue in full force and effect. These Terms, together with our Privacy Policy at /privacy and any other policies referenced herein, constitute the entire agreement between you and OptiMA regarding your use of the website and supersede any prior agreements on the same subject matter.
